San Diego EarthWorks manages all EarthFair registrations with EarthWorks' online Associate registration system (you are an Associate). Each participant will have an account on the system. You can access your account to:
- Fill out your application form for EarthFair activities.
- Make changes to your registration if needed
- Download your logistics information before the fair
- Review your past participation history
- Generate invoices and make payments
The steps described here are common to all EarthFair registrations. There is specific information at the end to ensure you get to the correct registration form.
To use the system, you do need to have an email account that you use regularly. If you don't have or use email, please call the office at 858-272-7370.
Important Dates
- March 30, 2022: Last day to register and pay without incurring a $75 late registration fee.
- April 18, 2022: Last day for exhibitors to register and pay.
- April 28, 2022: Sales reports due for exhibitors conducting sales at EarthFair.
Access
To access the system, you will need an account, with a login name and password.
If you exhibited or volunteered with San Diego EarthWorks before, you already have an account on our system PLEASE USE THAT ACCOUNT.
If you do not have your login name and password, you can get it by:
- Entering your email address under "Forgot your name or password?" on the system; it will email you your login information.
- Emailing us your request at ef22exh@earthdayweb.org.
- Calling the office at 858-272-7370.
If you have not exhibited with EarthWorks before, simply create a new account under the New Associate heading
Email Confirmations
Email is our preferred way of communicating with you. It is important that you receive notices from us, but email can be unreliable. So:
- Our email messages to you often contain a confirmation link. Please click the link when you receive the message. (If we don't receive your confirmation, we will have to call or send you postal mail - a lot of extra work that defeats the purpose of our "paperless" system.)
- If you don't use email regularly, be sure to indicate that on your registration form.
- If you change your email address (or mailing address, or phone number, etc.) use the "Edit Contact" link on the home page of the registration system to update our records.
- If you have an email spam filter, be sure it allows messages ("white list") from earthdayweb.org
Getting to Your Registration Form
After logging in to your account (and verifying your contact information if you were a previous exhibitor), you will be taken to your Home Page that has many different sections.
Under the heading New Registrations are 4 buttons; press the Show button next to the activity your want.
- For EarthFair Volunteering or Earth Day Parade there is just one choice; press that Register button to begin your registration.
- Under EarthFair Sponsorship and Ads there are 5 Register buttons.
• Two for General EarthFair Sponsorship (exhibit or non-exhibit)
• Two for Cannabis Row Sponsorship (exhibit or non-exhibit)
• One for Earth Times Ad Reservation
Be sure to choose the correct sponsorship option, based on whether you expect to exhibit or not.
- Under EarthFair Exhibiting there are 5 Register buttons:
• Cleaner Car Consourse, if you are showing a vehicle
• eARTh Gallery, to show/sell your arts and crafts
• Food Vendor, if you plan to serve food
• Cannabis Row, to exhibit in that area
• EarthFair 2022 Exhibitor, if you are not in one of the above exhibit categories, (most exhibitors use this optiond).
When you press the Register button your registration form will be presented; fill it out, and be sure to press the Submit button at the end. When you re-enter the system at a later date, any registration forms you have started or submitted will be immediately available under Your Current Registrations at the top of the page.
- If you cannot complete the application in one session, you can exit and come back later. The system will preserve what you have entered since the last "save."
- You can re-enter they system and make changes to your registration at any time. Just select the Edit button under the Your Current Registrations heading.
- The system will time out after 20 minutes without a button press. You will be able to login and resume, but you may lose all you entered on the last screen.
- If you are a prior exhibitor, use the Show Exhibiting button in the Review Participation History section to see details of your prior exhibit.
- Generate invoices and make payments using choices under the Financial heading.
